3. Booking and Reservation
A booking request may be submitted through our website, email, telephone, messaging services, or other available communication channels.
A booking will be considered confirmed only after we have accepted the reservation and communicated confirmation to you, including any required deposit or payment arrangements.
When making a reservation, you agree to provide accurate and complete information, including your name, contact details, passport information where required, travel dates, and any relevant information necessary for organizing your trip.
You are responsible for reviewing your booking confirmation and notifying us promptly of any errors or changes.
We reserve the right to decline a booking request where necessary due to availability, safety considerations, incomplete information, or other legitimate operational reasons.
4. Pricing and Payments
All trip prices, inclusions, exclusions, and applicable charges will be communicated before booking confirmation.
Unless otherwise specified, the following conditions apply:
A deposit or advance payment may be required to secure a reservation.
The remaining balance must be paid within the deadline communicated during the booking process.
Additional expenses not included in the package price are the traveler's responsibility.
Any applicable bank charges, transaction fees, taxes, or government fees will be disclosed where relevant.
Changes in government regulations, permit fees, taxes, transportation costs, or other external charges may affect the total price where permitted by applicable law and the agreed booking terms.
Accepted payment methods and payment instructions will be provided during the booking process.
We will communicate any applicable additional charges before proceeding with arrangements that incur those charges, where reasonably practicable.
5. Cancellation and Refund Policy
We understand that travel plans can change. Cancellation requests must be communicated to WOW Treks Nepal in writing through our official contact channels.
Any applicable cancellation charges, refund eligibility, and processing timelines will be determined according to the cancellation policy provided for the specific trip at the time of booking.
Depending on the circumstances, cancellation charges may reflect non-refundable deposits, permits already issued, accommodation reservations, transportation arrangements, supplier charges, and other costs already incurred.
Where a refund is approved, it will be processed using the original payment method where reasonably possible, subject to applicable payment-provider procedures.
Third-party processing fees, non-refundable supplier charges, and other deductions will be explained where applicable and permitted by law.
No cancellation fee or refund restriction will exclude any rights that cannot legally be waived under applicable law.
We recommend reviewing the specific cancellation policy carefully before confirming your reservation.
6. Changes to Bookings and Itineraries
We make reasonable efforts to follow the itinerary confirmed at the time of booking. However, changes may become necessary due to weather conditions, natural disasters, road closures, flight disruptions, government restrictions, permit availability, safety concerns, or other circumstances beyond our reasonable control.
Where necessary, we may adjust the itinerary, transportation, accommodation, trekking route, or schedule to protect traveler safety and maintain the feasibility of the trip.
We will communicate significant changes as soon as reasonably practicable and, where appropriate, discuss suitable alternatives.
If you request a change to a confirmed booking, additional costs may apply depending on availability and supplier conditions. Any applicable costs will be communicated before the change is finalized.
7. Traveler Responsibilities
All travelers are expected to:
Provide accurate booking and identification information.
Obtain the necessary passport, visa, permits, and travel documents applicable to their trip.
Follow local laws, regulations, and applicable travel requirements.
Respect local cultures, religious traditions, communities, and customs.
Follow reasonable instructions provided by authorized guides and trip leaders.
Inform us of relevant dietary requirements, mobility limitations, or other needs that may affect trip arrangements.
Behave responsibly and avoid actions that endanger themselves, other travelers, guides, or local communities.
Pay any agreed outstanding balances and personal expenses.
Travelers may be responsible for additional costs arising from their own unauthorized itinerary changes, misconduct, or failure to comply with applicable requirements, subject to applicable law.
8. Health, Fitness, and Safety
Trekking, hiking, mountaineering, and other outdoor activities may involve physical exertion, remote locations, changing weather, altitude-related illness, difficult terrain, and other inherent risks.
Before booking, travelers should assess whether their physical fitness, experience, and health are appropriate for their chosen activity.
Travelers should seek professional medical advice where appropriate and disclose information necessary for reasonable safety planning.
We reserve the right to recommend changes to an itinerary or decline participation in a particular activity where there is a reasonable concern about safety, fitness, or compliance with essential trip requirements.
In an emergency, itinerary changes, evacuation, or medical assistance may be necessary. Associated expenses will be handled according to the applicable insurance arrangements, booking terms, and relevant law.
9. Travel Insurance
Travelers are strongly advised to obtain comprehensive travel insurance appropriate to their itinerary and planned activities.
For trekking or mountaineering trips, insurance should cover the relevant activity, emergency medical treatment, evacuation, and helicopter rescue where applicable.
Travelers are responsible for checking the coverage limits, exclusions, altitude restrictions, and claim requirements of their insurance policy.
Unless expressly agreed in writing, WOW Treks Nepal does not provide individual travel insurance on behalf of travelers.
10. Travel Documents, Visas, and Permits
Travelers are responsible for ensuring that their passports, visas, trekking permits, entry documents, and other required travel documents are valid and obtained in accordance with applicable regulations.
We may provide guidance or assistance with permits and other arrangements where included in the booked package.
Any required documents, fees, and deadlines will depend on the destination, itinerary, nationality, and current government regulations.
We are not responsible for denied entry, visa refusals, or travel disruptions resulting from inaccurate information or documents that travelers are responsible for obtaining, except to the extent required by applicable law.
11. Third-Party Service Providers
Certain travel arrangements may involve independent third-party providers, including airlines, hotels, transportation companies, guides, accommodation operators, and other suppliers.
Their services may be subject to separate terms, availability restrictions, and operating conditions.
Where third-party services are included in a package, we will make reasonable efforts to coordinate the arrangements described in your booking confirmation.
Nothing in these terms excludes or limits responsibility for our own acts or omissions, or any responsibility that cannot legally be excluded, in connection with third-party services.

Such circumstances may include natural disasters, severe weather, landslides, earthquakes, floods, pandemics, civil unrest, strikes, government restrictions, border closures, transportation disruptions, or other extraordinary events.
Where such circumstances occur, we will make reasonable efforts to communicate the situation and explore practical alternatives.
Refunds, credits, rescheduling, or other remedies will be handled according to the applicable booking policy, supplier conditions, and governing law.

15. Limitation of Liability
To the extent permitted by applicable law, WOW Treks Nepal will not be responsible for losses arising from circumstances beyond our reasonable control, including unforeseen weather events, government restrictions, natural disasters, or independent third-party failures, except where such losses result from responsibilities that remain legally attributable to us.
Nothing in these terms excludes or limits liability for fraud, willful misconduct, negligence where liability cannot lawfully be excluded, personal injury or death where exclusion is prohibited, or any other liability that cannot be limited under applicable law.
Any other limitation of liability will apply only to the extent permitted by the governing law and the specific circumstances of the booking.
16. Complaints and Dispute Resolution
If you experience a problem during your trip, please inform our representative or contact our team as soon as reasonably possible so that we have an opportunity to address the issue.
We encourage travelers and WOW Treks Nepal to resolve complaints through good-faith communication and negotiation.
Where a dispute cannot be resolved informally, it will be handled in accordance with applicable law and the jurisdiction of the competent courts or other authorized dispute-resolution bodies.
17. Amendments to These Terms
WOW Treks Nepal reserves the right to update these Terms and Conditions when necessary to reflect changes in our services, operational practices, or legal requirements.
Updated terms will be published on this page with a revised “Last Updated” date.
